Job Description

David Weekley Homes is looking for an exceptionally organized and detail-oriented in-house Events/Meeting Coordinator to join our Team! To be successful in this position, you will be capable of both creative ideation and rapid execution while demonstrating agility and the ability to effectively communicate with our Leadership Team. In addition to possessing exceptional project management skills and outstanding attention to detail, the Events Coordinator will also be an excellent communicator skilled at building relationships with internal teams and external partners.

This position is based on-site at our Houston headquarters right off I-10 Katy Freeway and 610 W Loop N Fwy.

Key Responsibilities:

  • Event Planning: Collaborate with other Teams to develop event concepts, themes and objectives, including audience, location, promotional material needs, outside vendor involvement and timelines.

  • Event Content: Develop and create relevant content that aligns with the event’s purpose and goals. Collaborate with stakeholders to ensure accuracy and a timely delivery of the presented material, along with confirming the correct technical requirements are in place to present the information appropriately.

  • Event Execution: Support and help coordinate all logistical and operational aspects of the events, ensuring seamless execution, adherence to timelines and a high-quality attendee experience. This may include managing the event setup and tear down, coordinating meals, working with vendors to ensure their obligations are fulfilled, and monitoring the event flow and timing.

  • Communications: Assist in the development and execution of communications to help inform and engage attendees about the upcoming event. Collaborate with Department Heads and the Executive Team to ensure communication is accurate and being sent to the relevant Team Members. Develop post-event communications, including survey distribution and follow-up materials.

  • Vendor Management: Identify, vet, select and coordinate with external vendors such as caterers, photographers, hotel and transportation, and print vendors to ensure their services align with event and timeline requirements.

  • Budget & Expenses: Create and manage event budgets, track and reconcile event-specific expenses, negotiate and present new and/or existing vendor contracts to the relevant stakeholders, provide regular budget updates, and implement cost-control measurements where applicable.

  • Attendee Management: Assist in the oversight of processes for event attendees such as tracking flight information, hotel reservations, transportation, calendar invites, special needs and distributing attendee materials in advance of the event.

  • Special Projects: Support the coordination of special events and projects on an as-needed basis.

    Job Requirements:

  • 3 years minimum of relevant events/meeting coordination experience

  • Positive attitude and strong Team player ethic

  • Able to handle multiple tasks simultaneously, highly organized, detail-oriented, able to handle deadlines and prioritize

  • Adaptable to quickly changing directions

  • Able to accept constructive criticism and to work both collaboratively and independently in a quick and efficient manner

  • Excellent verbal and written communication skills

  • Strong project management skills

  • Customer-oriented attitude with a strong sense of urgency and constant follow-up

  • Possesses discretion to maintain confidentiality

  • Excellent interpersonal skills

  • Flexibility to work after hours, typically 2-3 days per quarter
