Job Title: Administrative Assistant

Department: Clerical

Reports to: HEC Director

Classification: Classified / Non-Exempt

Summary

To assure the smooth and efficient operation of the school office so that the offices maximum positive impact on the education of students can be realized.

Essential Duties and Responsibilities

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skills and abilities required.   1. Perform the usual office routines and practices, which includes receiving androuting incoming calls and welcoming parents and visitors to the office.

  2. Assist the Director with all activities. This includes record keeping, scheduling, advertising, and federal and/or state reporting.

  3. Assist visitors and maintain a log of visitors to the school.

  4. Assist in maintaining student attendance records and helps to coordinate check-in/out procedures.

  5. Creating purchase orders, track purchases and account balances.

  6. Other duties as assigned by administrator.

Qualifications

Education/Experience

  • High school diploma required.
  • College is considered a plus.
  • Demonstrate aptitude or competence for assigned responsibilities.
  • Such alternative to the above as the Board may find appropriate and acceptable.

Certificates, Licenses, Registrations

Skills and Abilities

Language

Individual must be able to read and interpret documents, Write simple and complex reports, applications, and correspondence, and speak with students, staff members, and community members.

Computation

Accounting and bookkeeping skills and knowledge of Excel Spreadsheet applications a plus.

Reasoning

The ability to interpret and follow directions is required, as are basic problem-solving abilities.

Technology

Must have strong computer skills, including word processing, working with spreadsheets, and internet. Must have the ability to learn new systems and software with instruction. Must have the ability and knowledge to operate various types of duplicating machines. Must have computer skills to perform various tasks such as checking Emails, printing jobs from various file formats.

Additional Skills and Abilities

This individual must have strong interpersonal skills and the ability to safeguard confidential information. Also, must be organized, motivated, and honest.

While performing the duties of this position an employee is required to sit, talk, and hear. Be able to be on feet for long periods of time. The employee is occasionally required to stand, reach, bend, and repetitively lift or carry up to 50 pounds.

Mobility

Occasional walking as required in a general office setting.

Hearing

Must have the ability to hear conversation both in person and via telephone in a general office setting.

Speaking

Must have the ability to communicate effectively and confidently as a representative of the school district.

Seeing

Prolonged computer use required.

Consistent and regular attendance is essential

The work environment is consistent with a typical office environment. The employee will occasionally be required to work outside and travel between district buildings.

Terms of Employment

Position is full time, 11 months (August - June). Salary and work year to be established by the Board.

Policy on Evaluation of Support Personnel.
