This Opportunity:

We are looking to hire 1 Full-Time Administrative Assistant for the Peel Region Office.

Roles and responsibilities:

  • Provide administrative support to the program management team

  • Assist with the preparation, submission and filing of confidential documents and internal recording systems foremployee vacation and sick time records, Payroll submissions via Quatro

  • Assist with the creation of VidCruiter accounts to assist with onboarding new hires

  • Update and maintain program manuals and other organizational manuals as appropriate

  • Accept and log program referrals; create electronic files and alert wider team of referral details

  • Receive/process monthly vendor invoices and follow-up on payment concerns//inquires as needed

  • Assist with finance and reimbursement submissions; employee expenses and petty cash reconciliation

  • Maintain FA inventory speadsheets for regional offices, order office supplies, monitor operation of equipment

  • Organize and prepare for meetings/presentations, including attending and taking/preparing minutes as required

  • Maintain and assist with continuous improvement of data collection systems to support the program

  • Assist with preparation of forms, documents and reports by typing, proofreading, editing, copying, collating,binding and packaging for distribution

  • Be the initial point of contact; respond to inquiries, relay information about ES programs and complete intakes

  • Liaise with other offices, programs and departments as required; finance, P&C, IT

Qualifications and experience:

  • Post Secondary education in Office Administration

  • Related skills and experience

  • Advanced MS Word and Excel skills

  • Keyboarding of 50-70 WPM

  • Good numeric skills, with proven ability (through formal qualifications and/or experience)

  • Excellent communication skills, written and oral (through formal qualifications and/or experience); ability toproduce grammatically accurate emails, letters and informal communications

  • Excellent personal, inter-personal and organizational skills

  • Demonstrated ability to multi-task, prioritize work and work well under pressure

  • Ability to take verbal and written direction and follow through to complete assigned tasks
