Role Summary:

The Supplier Services Manager is responsible for the effective management and leadership of the Supplier Services Team; ensuring we provide Capricorn suppliers with exceptional high quality service. This role is accountable for ensuring the Supplier Services team deliver on all key accountabilities in an accurate and timely manner.

Leadership & Management

  • Provide leadership, direction and coaching for all direct reports ensuring direct reports are held accountable for the accurate and timely completion of responsibilities within set guidelines.

  • Be an escalation point for any conflicts of complains and resolve as required.

  • Develop and set KRA's, operational plans, and the allocation service targets team members as required.

  • Adhere to all departmental policies and procedures as well as all Capricorn Corporate Policies and Procedures as amended from time to time.

  • Responsible for the recruitment, induction and development of staff within the team.

  • Establish a yearly development roadmap for direct reports to facilitate the ongoing development of the team capability in the delivery of service and relationship management.

Operational Performance

  • Manage the supplier account creation process to ensure information has been entered correctly and within company guidelines.

  • Provide guidance as required to the Supplier Services team with respect to new supplier PSTAs and Contracting Entity set up in Epicor, ensuring set up with correct entity information and signatories.

  • Engage with the National Key Accounts Manager, Supply and Head of Business Development to manage the Rebate Agreement Renewals and liaise with Legal Department to align documentation as per their requirements.

  • Manage the payment of rebate invoices in accordance with the overall rebate schedule.

  • Oversee the administration of supplier promotional activities ensuring that deadlines are met each month for key stakeholders.

  • Effectively delegate workloads ensuring each task is completed on time and to a high standard.

  • Review monthly payment schedules prepared by the team and ensure all supplier payments are authorised in Epicor and progressed for payment according to company policy.

  • Oversee the administration of monthly contract payments to large supplier groups.

  • Ensure the Supplier Services officers are following up all undeliverable emails in relation to the daily broadcast, membership penetration reports and monthly remittances.

  • Oversee the management of suppliers with low/no data at month end, ensuring that follow up by the team is completed in a timely and accurate manner, consistent with organisational deadlines.

  • Prepare monthly reports, such as the Aged Trial Balance and Supplier Variation of Sales, for follow up by the Supplier Services officers to ensure supplier transactional data is accurate in preparation for payment.

Skills, Knowledge and Attributes:

  • Intermediate skill in the use of Microsoft Office Software Suite.

  • Exposure to SQL or data analytics (desirable).

  • Understanding of basic accounting principles.

  • Build strong member relationships and delivering customer-centric solutions.

  • Ability to coach and motivate others and set clear direction and goals.

  • Ability to be adaptable to business operational goal changes.

Experience:

  • Experience in a customer service leadership role is mandatory.

  • Experience working within a volume driven, multiple systems environment desirable.

  • Experience in coaching employees and conducting leadership routines to achieve results.

Qualifications:

  • Completion of Year 12 High School Certificate or equivalent preferred.

  • Relevant qualifications in Leadership and or relevant Frontline Management Program are highly desirable.
