ST CHARLES COUNTY GOVERNMENT ADMINISTRATIVE ASSISTANT-INTERMEDIATE / ASSESSOR in Saint Charles, Missouri
PURPOSE:The purpose of this position is to act as a liaison for the County Assessor with the general public, elected officials, and other county employees, in addition to managing the daily administration of the department.
JOB DESCRIPTION:
- Prepares biennial plan yearly certification
- Monitors and maintains petty cash
- Utilizes database and/or spreadsheet software to maintain data in an orderly format and develops reports, graphs, and presentations
- Serves as front line intermediary between the Assessor and those having business with the department
- Solves problems and handles concerns on matters concerning the department as appropriate - including resolving employee conflicts
- Signs documents in the Assessors absence
- Prepares confidential or sensitive reports and correspondence
- Attends meetings with the Assessor and in the Assessors absence
- Maintains the Assessors calendar including scheduling meetings and appointments
- Prepares department budget
- Manages department finances
- Contributes to personal property declaration entry and Workflow(s) - including verification of data entry
- Procures office supplies
- Manages personnel records including payroll, attendance, and benefits
- Trains clerical staff
- Creates reports and documents as requested including, but not limited to resolutions, maintenance plan, certification, advertisements, legal notices, and miscellaneous correspondence
- Answers, screens, and directs telephone calls and visitors as necessary
- Develops office forms and procedures to increase efficiency
- Opens and directs department mail
- Maintains department library
- Records meeting minutes as directed
- Performs miscellaneous clerical duties as needed
- Trains and assists employees in Word and Excel functions
- Assists other divisions as needed with knowledge of all division positions as needed
